Share prompts with your team: workspaces and calls

Share prompts with your team in a 77Fox workspace, along with canvases, to-dos and events, then chat on desktop or web and call up to six people on Windows.

In a 77Fox workspace, a small team can share prompts, canvases, to-dos and events, with group chat and direct messages right beside them, and anyone on the Windows desktop app can start a voice call with up to six people. Workspaces, messages and calls are free with a 77Fox account. Workspaces and messages work in the Windows desktop app and on the web; voice calls are Windows desktop only.

In a studio of three to five people, the prompts everyone relies on end up scattered across personal chats and documents, so using one starts with asking who has it. Discussion happens in another chat app, and a quick call needs yet another. A workspace brings the shared material and the conversation into 77Fox, while private content stays private.

What goes into a workspace

You can share four kinds of content: prompts, canvases, to-dos and events. Prompts can be shared one at a time, as a multi-selection, or with Share prompt library, which also covers prompts you add later. Every share has a permission, Can edit or Can view, and Can view is the default.

Shared to-dos can have an assignee, and shared events can list participants. Canvases can also be shared by link with people outside the workspace; see how canvas sharing works. If you're still deciding where prompts should live, 77Fox vs Notion vs chat history for prompts compares the options.

Ownership doesn't change. A shared item still belongs to its author: admins can remove a share from the workspace but can't delete anyone's original. When you leave a workspace, your shares there are withdrawn; when a workspace is deleted, everyone keeps their personal originals.

Joining doesn't import anyone's content into your library. Prompts, canvases and events can show shared items in a separate Shared with me view or alongside your own; to-dos are always mixed in. Prompts and to-dos from other people carry the author's avatar.

Item Limit or rule
Workspaces you can create per account 60
Members per workspace 500
Roles Owner, Admin, Editor, Viewer
Invitation by email or public user code Valid for 7 days
Invite link 7 days by default, or 1 or 30 days; optional password of 6–64 characters
Share permission Can edit or Can view

To set one up and share prompts:

  1. In 77Fox settings, open Workspaces, click Create workspace and name it.
  2. As owner or admin, click Invite members and enter an email or public user code, or create an invite link with a role, an expiry and an optional password.
  3. On the Prompts page, right-click a prompt or a multi-selection, choose Share to workspace, pick the workspace and set Can edit or Can view. Share prompt library covers the whole library.
  4. Once members accept, your prompts appear on their Prompts page, and anyone with edit permission can change them.

Messages

Each workspace comes with a group chat. Members who share a workspace can message each other directly, and Send to myself is handy for moving things between your PC and the web.

  • A message holds up to 16,000 characters and 10 attachments. Images can be up to 20 MB each, other files up to 200 MB.
  • Attachments count against the sender's cloud storage, 1 GiB on a free account. On desktop you can drag downloaded attachments into other apps.
  • New messages trigger a system notification; several in one chat within a few seconds arrive as a single "N new messages" notice.
  • Mute a noisy chat to stop its notifications and keep it out of the unread badge.
  • Unread messages show as a red number badge on Messages. Direct messages show Seen once read; group chats don't show who has read what.
  • Turn off Show message text in notifications to keep message text out of your system's notification center.
  • New members can scroll back through a group chat's history, and removed members lose access immediately. A direct chat only works while both people still share a workspace.

Messages work on Windows desktop and the web. In the desktop app, Messages is there as soon as you sign in: before you join any workspace, you can already use Send to myself and call another 77Fox user by email. On the web, Messages appears once you've created or joined at least one workspace. The Android app doesn't have Messages yet.

Start a voice call

Voice calls are Windows desktop only. To start one:

  1. Open Messages. The Calls row sits at the top of the list; group chat headers, the member panel and chat rows have call buttons too.
  2. For one-to-one, choose Email, enter the person's 77Fox account email and click Call, or call back a recent contact. For a group, choose Workspace, pick one and click Start group call.
  3. A call window appears in the bottom-right corner of the other person's screen without stealing focus. They click Answer; after 45 seconds unanswered, the call is logged as missed.
  4. During the call, Add people invites more from email, recent contacts or workspace members; a workspace call only takes members of that workspace. A call holds up to six people, counting anyone still being called.
  5. Click Hang up to leave. If someone declines, times out or leaves early, everyone else stays connected; the call ends when the last person leaves.

A few rules:

  • The person you call needs a 77Fox account and the Windows desktop app online.
  • Allow calls from, in Voice calls settings, offers Workspace members (the default), Everyone, Selected contacts or No incoming calls. To take calls from outside your workspaces, choose Everyone, or Selected contacts with that person listed (Selected contacts lets only listed people through).
  • One account can be on a call on one device at a time.
  • The microphone stays off until you answer. Closing the call window, switching pages or hiding to the tray doesn't end the call, and the tray icon's right-click menu can answer, mute, record and hang up.
  • Pick your microphone and speaker in Voice calls settings. Recent contacts keep up to 30 people from the last 30 days.

Tell everyone before you record

Any participant can click Start recording on their own; no one else has to agree. While they record, the member list shows Recording next to their name, but no tone plays, so the others only know if they look.

Before recording, tell everyone on the call and follow your local laws. Recording rules differ by country and region.

Recordings stay on the recorder's own PC and aren't uploaded or synced. They go to 77Fox's local data folder by default, or to another folder you set under Recording folder in Voice calls settings. Each one mixes your voice and every participant's into a single WebM audio file, keeps going when someone joins mid-call, and stops automatically after 4 hours.

Where your data lives

Content Where it's stored Protection Who can see it
Prompts, canvases, to-dos and events shared to a workspace 77Fox servers Encrypted with a key held by the server Workspace members, as Can edit or Can view allows
Messages and attachments 77Fox servers Encrypted with a key held by the server (AES-256-GCM) Members of the chat; removed members lose access immediately
Call audio Not stored Relayed through 77Fox's relay servers People on the call
Recordings The recorder's PC Not uploaded or synced The recorder
Personal content you haven't shared Your PC, plus your own Google Drive if sync is on Encrypted before upload Only you

Once a prompt is shared to a workspace, its text is stored on 77Fox servers and leaves your personal Google Drive sync. Anything you haven't shared stays on your PC and in your own Drive, as explained in Encrypted sync through your own Google Drive.

Call audio always goes through the relay, so your PC's IP address isn't exposed directly to the other side, and the audio is never stored. Attachments, shared canvases and workspace content share your account's cloud storage; personal Google Drive sync doesn't count against it. See the privacy section of the feature page for more.

FAQ

Can I call someone who doesn't use 77Fox?

No. Voice calls only work between 77Fox accounts, and the other person needs the Windows desktop app online. If you don't share a workspace, they also need to set Allow calls from to Everyone, or choose Selected contacts and add you.

Can I make calls from the web app?

No. The web console can send and receive messages and open and edit shared content, but voice calls are Windows desktop only. The Android app has neither Messages nor calls for now.

Can only the people in a chat decrypt its messages?

No. Messages and attachments are stored on 77Fox servers and encrypted with a key the server holds (AES-256-GCM), so the key stays on the server side. Don't send API keys, passwords or other secrets in chat.

How much free storage do I get?

A free account has 1 GiB of cloud storage, shared by your message attachments, shared canvases and workspace content. Images can be up to 20 MB each and other files up to 200 MB; the pricing page lists plans with more storage.

How many people can join a workspace?

Up to 500 members per workspace, and each account can create up to 60 workspaces. Voice calls have their own limit of six people per call, counting anyone still being called.
